Our focus is on the bigger picture--minimizing tax liability, planning strategically, and supporting long-term financial growth. Our client base includes individuals, closely held businesses, nonprofits, and corporations, with a strong concentration of high-net-worth (HNW) clients. Annually, we handle approximately 600 individual tax returns, with roughly 450 tied to S-Corporations and Partnerships. While about 20% of these engagements are more straightforward, the majority involve complex tax situations including capital gains, investment activity, asset structures, and Schedule C businesses. As a smaller firm, we offer the opportunity to work closely with leadership and play a meaningful role in both client service and internal operations.<h1 style="margin-bottom: 7pt; margin-top: 16pt;">Position Overview</h1>We are seeking a detail-oriented, client-focused Office Manager to serve as the backbone of our office operations. This role is heavy on client service and requires someone who thrives on staying organized under deadline pressure -- particularly during tax season -- while keeping both clients and staff supported day to day.<h1 style="margin-bottom: 7pt; margin-top: 16pt;">Key Responsibilities</h1><ul><li>Serve as the first point of contact for the office, managing incoming calls and emails with a strong client service focus.</li><li>Manage the flow of incoming client documents and outgoing tax returns, with particular attention to accuracy and timing during filing deadlines.</li><li>E-file completed tax returns.</li><li>Manage day-to-day office needs, including ordering and maintaining office supplies.</li><li>Set up new clients within firm systems as part of the onboarding process.</li><li>Coordinate administrative needs between staff and clients, including preparing IRS forms and obtaining client signatures.</li></ul><h1 style="margin-bottom: 7pt; margin-top: 16pt;">Qualifications</h1><ul><li>Prior office management or administrative experience, ideally within a CPA firm, accounting practice, or other professional services environment.</li><li>Strong client service and communication skills, both by phone and email.</li><li>Highly organized, with the ability to manage multiple deadlines simultaneously, especially during peak tax season.</li><li>Comfortable learning and working within firm systems for client onboarding and document management.</li><li>Proficient with general office technology (e.g., Microsoft Office, email, scanning/document management tools).</li><li>Discretion and professionalism in handling confidential client and financial information.</li><li>Self-starter who can work independently and anticipate the needs of staff and clients.</li></ul><h1 style="margin-bottom: 7pt; margin-top: 16pt;">Preferred (Not Required)</h1><ul><li>Experience with tax preparation or e-filing software (e.g., UltraTax, ProSystem fx, Drake, Lacerte, or similar).</li><li>Prior experience supporting a tax or accounting team through a full busy season.</li></ul><h1 style="margin-bottom: 7pt; margin-top: 16pt;">Schedule</h1>Standard office hours are:Monday: 8am - 5pm Tuesday: 8am - 6pm Wednesday: 8am - 5pm Thursday: 8am - 6 pm Friday: 8am - 5pm Note: Extended hours may be required during tax deadline periods (e.g., March-April and September-October).]<h1 style="margin-bottom: 7pt; margin-top: 16pt;">Compensation &amp; Benefits</h1>Salary range: $80,000-$90,000 + bonusIn addition to a competitive salary, we provide the following benefits:<ul><li>Health insurance coverage (medical, dental, vision).</li><li>Retirement savings plan with company match.</li><li>Paid time off and holidays.</li><li>Professional development and training opportunities.</li><li>Collaborative and supportive work environment.</li></ul>#DS300
